Extra Fields Pro — Privacy Policy

Extra Fields Pro (“the App”) is developed and operated by Seona LLC (“we,” “us,” or “our”).
This Privacy Policy explains how we collect, use, store, protect, and delete information when Shopify merchants install and use Extra Fields Pro.
Extra Fields Pro enables Shopify merchants to add custom fields, product options, delivery dates, gift messages, and other information requests to their online stores.
1. Information We Collect
1.1 Merchant Information
When a merchant installs and uses Extra Fields Pro, we store limited information necessary to operate the App:
Shopify store domain
Shopify-issued offline access token
App setup guide progress
Subscription plan name
The App does not request access to Shopify customer records, order records, or payment information.
1.2 Customer-Submitted Information
Extra Fields Pro allows merchants to collect information from customers through custom fields on product pages, cart pages, and cart drawers.
Depending on the merchant’s configuration, this information may include:
Delivery or pickup dates
Gift messages
Product personalization details
Customer-selected product options
Special instructions
Other information requested by the merchant
Extra Fields Pro does not transmit or store these customer-submitted answers on Seona LLC’s servers.
Customer responses are written directly to Shopify as cart attributes or line item properties and are subsequently associated with Shopify orders.
The App’s checkout validation functionality operates within Shopify’s infrastructure and reads field responses solely to validate applicable requirements.
Customer-submitted information remains under the control of the Shopify merchant.
1.3 Technical Information
When merchants access the App through Shopify Admin, our hosting infrastructure may process technical information, including:
IP addresses
Browser information
Server request information
This information is retained in server request logs for up to 30 days and is used for application operation, troubleshooting, and security.
We do not use advertising trackers, marketing analytics platforms, or behavioral tracking tools.
2. How We Use Information
We process merchant and technical information for the following purposes:
Installing, authenticating, and operating Extra Fields Pro
Maintaining merchant subscription information
Saving setup progress
Providing product and cart field functionality
Supporting checkout validation
Troubleshooting technical issues
Maintaining application security
Responding to support requests
Complying with applicable legal obligations
Support inquiries sent to info@seonaonline.com are used to respond to questions, provide assistance, and resolve technical issues.
We do not sell customer or merchant personal information.
We do not use customer-submitted field responses for advertising, profiling, or marketing.
3. Shopify API Access
Extra Fields Pro requests only the Shopify API permissions necessary for its functionality.
read_products
Allows the App to retrieve product information so merchants can assign custom field groups to selected products and collections.
write_validations
Allows the App to configure checkout validation rules for required fields and delivery dates.
These permissions do not grant access to customer records, order records, or payment information.
Extra Fields Pro does not request Shopify protected customer data access.
4. Data Storage and Hosting
Extra Fields Pro uses Google Cloud infrastructure.
Hosting: Google Cloud Run
Database: Google Cloud SQL (PostgreSQL 16)
Hosting Region: us-central1 (Iowa, United States)
The App’s database stores limited merchant information necessary for authentication, setup, and subscription management.
App configuration settings are stored within the merchant’s Shopify store.
Customer-submitted field responses remain within Shopify and are not stored in the App’s database.
5. Third-Party Service Providers
Extra Fields Pro uses the following service providers:
Shopify
Provides the e-commerce platform, application integration, customer order infrastructure, checkout validation, and app billing services.
Google Cloud
Provides application hosting, database infrastructure, and server logging.
Information is shared with service providers as necessary to operate and support the App.
We do not use third-party advertising, marketing analytics, or customer tracking services.
6. Data Security
We implement technical and organizational measures designed to protect information processed by Extra Fields Pro.
These measures include:
HTTPS/TLS encryption for network communications
Encrypted database connections
Database encryption at rest through Google Cloud
Database infrastructure without public network access
Secure credential storage using Google Secret Manager
Shopify token-based authentication for administrative requests
HMAC signature verification for Shopify webhooks
Dedicated service accounts with minimum necessary permissions
These measures are designed to protect merchant information and prevent unauthorized access.
No electronic system can guarantee absolute security.
7. Data Retention and Deletion
7.1 While the App Is Installed
We retain the Shopify store domain, offline access token, setup progress, and subscription plan information as necessary to provide the App’s services.
Server request logs containing technical information, such as IP addresses and browser information, are retained for up to 30 days.
7.2 When the App Is Uninstalled
When a merchant uninstalls Extra Fields Pro:
The App deletes its stored access token, setup progress, and subscription plan information.
Shopify removes the App’s settings, theme blocks, app embed, and checkout validation rule.
Shopify’s subsequent shop deletion notification triggers an additional deletion process.
Residual copies of deleted database information may remain in automatic backups for up to seven days.
7.3 Customer Information on Existing Orders
Customer-submitted field responses associated with previously completed Shopify orders remain within the merchant’s Shopify store.
These records are controlled by the merchant and are subject to the merchant’s own privacy and data retention practices.
Uninstalling Extra Fields Pro does not automatically delete information from previously completed Shopify orders.
8. Customer Privacy Rights and Data Requests
Extra Fields Pro supports Shopify’s mandatory privacy compliance webhook processes:
customers/data_requestcustomers/redactshop/redact
The App also processes Shopify’s app/uninstalled webhook.
Because Extra Fields Pro does not independently store customer-submitted field responses or retrieve customer records through Shopify APIs, it does not maintain separate customer records to return or delete in response to these requests.
Customers wishing to access, correct, or delete information associated with their orders should contact the Shopify merchant from whom they purchased.
Merchants may contact Seona LLC regarding information processed directly by Extra Fields Pro.
9. International Data Processing
Extra Fields Pro’s application hosting and database infrastructure are located in the United States, using Google Cloud’s us-central1 region.
Customer-submitted field responses are processed and stored within Shopify’s infrastructure, subject to Shopify’s applicable data processing practices.
10. Children’s Privacy
Extra Fields Pro is a business application intended for Shopify merchants.
The App is not designed to independently collect personal information from children.
Merchants are responsible for determining which customer information they request through their storefronts and for complying with applicable privacy laws.
11. Changes to This Privacy Policy
We may update this Privacy Policy to reflect changes in our services, technical infrastructure, data practices, or applicable legal requirements.
When changes are made, the updated policy will be published with a revised effective date.
